If you must receive a delivery during the Show hours, it can be processed one hour before the scheduled opening time and the logistics team are required to be advised beforehand.

While the Show is open to the public, no material can be moved in or out of the Exposition Hall without a written authorization from the Promoter.

BOOK YOUR SPOT

Rinsing

Rinsing of the units, by our exclusive supplier, is required by the Palais des Congrès on site before entering the exhibition hall, in the space reserved for this purpose on the first floor (fees apply - you will be invoiced by ACVRQ).

All vehicles and units must be de-iced and/or snow cleaned before arriving on site.

If water accumulates on the floor, it is strictly forbidden to move it to drain it into the gutters.

Cleaning

It is mandatory to carry out a complete cleaning of the units before exhibiting in the Palais des Congrès.

To book the on-site detailing service with our exclusive supplier, please write to us before February 16, 2024 specifying the number of units and their dimensions.

Required Equipment

As the electrical circuits of the Palais des Congrès are located under the floor, each exhibitor must provide buckets, mops and squeegees in sufficient quantity for the number of units that enter the room simultaneously, so that they do not drip on the floor of the Exhibition Hall after rinsing.

Delivery Procedures

Based on its move-in schedule, the exhibitor must follow the below procedure :

  • Make its way to the reserved lane for vehicles for the 2024 VR Show on St-Antoine Ouest St. alongside the Convention Center at the allocated time for its move-in.
  • Identify itself to the dispatchers on-premise.
  • Ensure that its vehicle or unit is properly cleaned (other than the wheels and undercarriage that will be cleaned up inside).

The exhibitor must comply to the entirety of the conditions detailed hereupon or its access will be declined.

The time assigned to you is the time you have to arrive at the loading docks. You have 20 minutes to unload your material and free up the space. After that, you can work on setting up your booth for the rest of the day.

Important Information

The North side of St-Antoine West Street that goes along the Montreal Convention Center will be reserved for the vehicles waiting to enter the Exposition Hall between Jean-Paul Riopelle Street and 163 St-Antoine West Street and will be accessible based on the established schedule.

Controllers will be positioned along the reserved area in the street to ensure the vehicle entry schedule is duly respected. Any vehicle that shows up without authorization from the Promoter or at the wrong time will be refused access.

The same area will also be reserved during move-out based on the same system.

Unforeseen Events

The exhibitor must notify Camille Desmarais by email at camille@planesolutions.ca if:
-He must change his assembly/disassembly schedule
-He must change the name of the person responsible for assembly/disassembly
-He is experiencing a delay in the delivery/pickup of his units
-He receives an unexpected last minute delivery
-He must make any change, addition or other in any situation

UNFAVORABLE WEATHER CONDITIONS
In the event of unfavorable weather conditions (storm, heavy snow, freezing rain, etc.), additional arrangements could be put in place.
In such a situation, exhibitors will be notified by email at least 48 hours in advance.

LIFT HANDLING AND HANGING rigs

Material Handling

Any loading and unloading of goods at the docks requiring a forklift as well as banner hanging will be carried out by the Palais des Congrès de Montréal (fees apply).For a forklift over 8000lbs please contact us before February 9, 2024.

Exhibition Hall

The exhibitor may use his own forklift to set up the units inside his booth space.Vehicles used to transport units must leave the exhibition hall once unloading is complete.The keys must remain in the vehicle's ignition at all times within the exhibition hall.

Important Information

Only vehicles used to tow exhibition units will be admitted inside the Exposition Hall.

Rolling carts will be made available to exhibitors to move their equipment, free of charge.

Important Informations

Exhibitors are not authorized to start teardown or move-out of any element of their booth before 5PM on Sunday March 3rd 2024. No material will be permitted to leave the Exposition Hall before that time.

Security measures put into place during the Show will be stopped at the closing of the show to the Public. Do not leave any object of value without surveillance.

In the case of any breakage or theft, the Promoter, the Montreal Convention Center and the Logistics team cannot be held responsible.

Move-out procedures - Small surfaces

Start of Move-Out : Sunday March 3rd - 5PM
*Trolleys will be available to transport your equipment to the loading docks (free of charge)

Once all your equipment is on the dock, the dock manager will allow your vehicle to get in and park at the loading dock for 20 minutes maximum.

Procedures and Guidelines

Directives for the Montreal Convention Center

Any unit exposed must be a new model for the current year, unless it's a B class.
A serial numbers verification will be carried out on site.

All the removable propane gaz tanks on or in the unit must be removed prior to entering the Convention Center.

All permanent propane gaz systems and tank must be emptied and purged prior to entering the Convention Center.

All the septic tank security stopping valves must remain open.

All of the below electrical accessories must be unplugged : refrigerator, water heater, furnace, HVAC system, microwave and/or oven.

A minimal clearing space of 10' around security exits must be respected at all time.

Every unit must be equipped with a FUNCTIONAL smoke alarm.

All the caps for fuel tanks must be locked, except fuel tanks that have never had fuel. The fuel tanks must not be wrapped or taped in a way that could prevent the security valve of functioning.

Units must keep their batteries unplugged at all time.

FOR YOUR SECURITY

  • Be wary of snow, water or ice on the floor that could cause a fall.
  • Do not move in front of lifts during their operation or movement.
  • Ensure a proper control of circulation around vehicles or units in movement.
  • Do not let any combustion engine running inside the venue (carbon monoxide emissions).
  • Any electrical input or output must be turned off after Show hours.

CNESST Security Guidelines

The Montreal VR Show asks its exhibitors and all of their suppliers to rigorously follow the CNESST safety measures required by law. Some best practices are highlighted below in order to ensure a safe work environment and prevent work accidents for everyone, at all times.

It is forbidden to consume or be under the effect of alcohol or drugs.
Any work done off the floor must be made with the proper safety technique using grade 1 stepladders.
Smoking is forbidden throughout the venue and at less than 9m of the doors.
Wearing a harness with a sufficiently weighted anchor point is required for any work above 3m (9') from the ground.
It is forbidden for people under 16 years of age to be present on-site during move-in and move-out periods, including the loading docks.
Stay vigilant of yourself and others during any vehicle movement on the loading docks as well as the Exposition Hall.
It is forbidden to circulate in front of forklifts in movement.
Be careful of your surrounding environments when there is water, snow or ice on the ground.
It is forbidden to leave any combustion engine running inside the venue so as to limit carbon monoxide emissions.
